Privacy Policy

Last updated 5 November 2026

This privacy policy explains how Archimax Global Solutions Limited collects, uses and shares your personal data when you use the UK SET website at ukset.org (the website), request template documents or contact us.

1 Important information and who we are

Archimax Global Solutions Limited (we, us or our) provides the website and is the controller responsible for the personal data we process as described in this policy. Our Information Commissioner's Office (ICO) registration reference is ZB833416.

The website makes template documents available to business contacts. When you request documents, we share the details you submit with the firms named on the website that drafted and contributed to the documents (the contributing firms) so that they can keep a record of who has requested their templates and may decide to contact you. Archimax is itself one of the contributing firms. Section 5 explains this sharing and the firms' separate responsibilities.

The website is intended for business contacts and is not directed at children. If you have questions about this policy or wish to exercise your rights, please contact us using the details in section 10.

2 The types of personal data we collect about you

Personal data is information relating to an identified or identifiable individual. We collect and use the following categories of personal data:

  • Identity and contact data: your full name, email address and country of residence.
  • Professional data: your company, if you choose to provide it, and your role, for example whether you are an investor, business owner or a lawyer.
  • Request and correspondence data: information about your request for template documents and any enquiries or other correspondence you send us.
  • Marketing and preference data: your choices about receiving our emails, records of your consent and any withdrawal of consent or objection.
  • Technical and usage data: information that may be collected when you visit the website, such as your IP address, browser and device information, access times and pages visited.

The document request form requires your full name, email address, country of residence and role. Your company is optional.

If you do not complete the required fields, you will not be able to request documents through the form.

Agreeing to our email marketing is optional and does not affect access to the documents.

3 How your personal data is collected

You provide personal data directly when you complete the form on the website, choose to receive our marketing emails, or contact us by email or post. Technical and usage data may be collected automatically through server logs, cookies or similar technologies when you use the website.

4 How we use your personal data

Our lawful bases

We use personal data only where we have a lawful basis. We rely on legitimate interests where processing is necessary for our interests or those of a third party and those interests are not overridden by your interests, rights and freedoms. We rely on consent for our optional email marketing, and on legal obligation where processing is necessary to comply with the law.

The table below explains our purposes and the lawful basis for each use. You can contact us for more information about our legitimate interests or how we balance them against your rights.

Email marketing and document updates

We will send you marketing emails only if you opt in using the separate marketing tick-box. These emails may include updates to the template documents and other UK SET news. You do not have to opt in to obtain the documents.

You can withdraw consent or object to marketing at any time by using the unsubscribe link in our emails or emailing info@archimax.solutions. This will not affect the lawfulness of processing before you withdrew consent. We may keep a limited record of your choice so that we do not send you further marketing.

If you do not opt in, or later unsubscribe, we may still send communications needed to deal with a request you have made or to meet a legal obligation. These communications will not contain marketing.

Cookies and similar technologies

Cookies are small files stored on your device. The website uses only cookies and similar technologies that are strictly necessary for it to operate securely. Where consent is required, we will ask for it before storing or accessing information on your device. Some technologies may be used without consent where a legal exception applies and its conditions are met.

Details of the technologies used, their providers, purposes and duration, and how to manage your choices, are available in our Cookie Policy. You can also use your browser settings to block or delete cookies, although this may affect website functionality.

5 Disclosures of your personal data

Contributing firms

When you confirm your request for documents, the full name, email address, company (if provided), country of residence and role that you submit are automatically shared with the firms that drafted and contributed to the template documents, as identified on the website in the Working group section. The purpose is to allow those firms to keep a record of who has requested their templates. They also may decide to contact you. We rely on the legitimate interests explained in section 4 for this sharing.

The firms act as separate controllers for their own use of the information they receive. Their privacy notices explain their processing and how to exercise your rights with them. You can find those notices through the firms' websites linked from the UK SET website.

Other recipients

We may also share personal data, where necessary for the purposes described in this policy, with:

  • Service providers supporting the website and our administration, such as providers of hosting, IT support, online forms, contact management and email services.
  • Professional advisers, including legal advisers, where needed for advice or the establishment, exercise or defence of legal claims. For legal claims, we rely on our legitimate interests in protecting our legal rights.
  • Courts, regulators, law enforcement bodies or other authorities where we are legally required to disclose information.

Service providers acting as our processors may use personal data only for the purposes we instruct and must protect it under appropriate contractual arrangements. This is different from the contributing firms' role as separate controllers.

6 International transfers

We process your personal data in the UK. If we transfer it outside the UK, including by allowing access from overseas, we will ensure that the transfer complies with UK data protection law.

We will use a destination covered by UK adequacy regulations or put appropriate safeguards in place, such as the UK International Data Transfer Agreement or the UK Addendum to the European Commission's standard contractual clauses, together with any additional measures needed to protect your data. You can contact us at info@archimax.solutions for information about any transfers and to obtain a copy of the relevant safeguards.

7 Data security

We use appropriate technical and organisational measures to protect personal data against accidental loss, unauthorised access, use, alteration or disclosure. Access by people working for us is limited to those who need it for their work and are subject to appropriate confidentiality obligations.

We have procedures for dealing with suspected personal data breaches and will notify you and the relevant regulator where legally required.

8 Data retention

We keep personal data only for as long as reasonably necessary for the purposes described in this policy, meeting applicable legal and regulatory requirements and dealing with complaints or legal claims.

We keep the record of each template request for two years from the date of the request, and then delete it.

To decide how long to retain other data, we consider its amount, nature and sensitivity; the risks from unauthorised use or disclosure; why we need it; whether we can achieve that purpose with less or no personal data; and any applicable legal requirements. For correspondence, we consider how long a record is needed to resolve related enquiries. We review the continuing need to keep information and delete or anonymise it when it is no longer needed.

We use your marketing details while your consent remains valid and the information remains necessary for that purpose. If you unsubscribe or object, we stop the marketing and retain only the information needed to respect your choice and demonstrate compliance, for as long as those purposes require. Each contributing firm is responsible for its own retention arrangements.

9 Your legal rights

Your right to object

You can object to processing based on legitimate interests on grounds relating to your particular situation. We must then stop that processing unless we can demonstrate compelling legitimate grounds that override your interests, rights and freedoms, or the processing is needed for legal claims.

You have an absolute right to object to the use of your personal data by us for direct marketing at any time. We will stop using it for that purpose if you object. Contact info@archimax.solutions to exercise either right.

Your other rights

Subject to the conditions and exceptions in data protection law, you also have the right to:

  • Request access to your personal data and a copy of it.
  • Ask us to correct inaccurate or incomplete personal data.
  • Ask us to erase your personal data in certain circumstances.
  • Ask us to restrict how we use your personal data in certain circumstances, for example while we check its accuracy or consider an objection.
  • Receive personal data you have provided to us in a structured, commonly used and machine-readable format, and ask us to transmit it to another controller where technically feasible. This right applies where processing is automated and based on consent or a contract with you.
  • Withdraw consent at any time where we rely on it, without affecting the lawfulness of earlier processing.

To exercise your rights, please use the contact details in section 10. You will not normally need to pay a fee. We may request information reasonably needed to verify your identity or clarify your request. We respond without undue delay and normally within one month, subject to any extension or pause permitted by law, which we will explain where applicable.

12 Changes to this policy and your information

We keep this policy under review and will publish any updated version on the website with a revised date. Where required, we will bring material changes to your attention. Please let us know if the personal data you have provided to us changes so that we can keep our records accurate.
